Job Summary:
Hearts & Bones Rescue is seeking a full-time rescue coordinator to join our team of passionate animal-lovers dedicated to saving the lives of shelter dogs in need and uniting them with loving adopters. We are a 501(c)(3) non-profit foster-based rescue with dual bases in New York City and Dallas, Texas dedicated to ending the needless euthanasia of shelter dogs through direct lifesaving, shared learning, and community building. We rescue approximately 800-1,100 dogs from overcrowded shelters each year, thanks to an incredible network of rescue partners, fosters, volunteers, and a small but mighty full-time staff!
We are looking for a driven, organized, and dynamic dog lover to join our New York-based team and support all aspects of our rescue operations, with a particular focus on the medical aspect of our foster program as well as assisting at adoption events. This requires a customer service mindset, compassion for both our dogs and the fosters and adopters who open their homes to them, and the ability to remain cool under pressure. Excellent written communication is essential along with strong organizational skills, attention to detail, interpersonal skills, and of course a passion for animal welfare through the rescue and adoption of dogs. The ideal candidate also has a basic understanding of dog behavior and most importantly, is willing to learn more in this area. No two days in rescue are the same; a successful candidate will be able to multitask, prioritize, and pivot responsibilities on an ongoing basis.
Responsibilities:

Manage volunteers, oversee and improve current processes, and assist cross-functional teams as needed (including but not limited to: Adoption, Alumni, Events, Medical, and Volunteer)

Serve as point person for day-to-day rescue operations, including but not limited to foster dog medical needs and adoption events

Identify ways to improve policies and practices to ensure our foster, medical, and adoption programs are as effective as possible

Manage existing relationships with our veterinary partners

Serve as liaison between the vet, volunteers, fosters

Work with fosters when medical concerns arise and take necessary action for vet intervention

Track and administer preventatives and prescribed medications as needed

Review medical records and manage medical disclosures

Manage invoices and medical summaries to ensure all have been received and paid

Track medical supplies and ensure given to appropriate dogs as needed

Work with foster program manager on foster communication, including thank you emails and updates regarding dogs with medical concerns

Oversee communication across the rescue team to ensure all relevant parties/individuals are updated on day-to-day logistics as well as larger team updates

Coordinate with the program managers across each function within the rescue (i.e. Adoptions, Medical, Alumni) and conduct status calls to ensure teams are supported and functioning at full capacity

Liaise with other rescue organizations/groups in New York and Texas and beyond as a representative of HBR

Research and implement new technology, databases and systems to improve foster team operations

Responsibly and safely handle dogs as needed at adoption events, transport arrivals from Texas, vet appointments
Requirements:

Experience in a fast-paced work environment, and performs well under pressure

Ability to build and maintain relationships and work collaboratively with our partners

1-2 years’ experience working or volunteering in animal welfare

A positive attitude and ability to stay calm under pressure

Excellent interpersonal and communication skills

Experience with conflict-resolution

Problem solver who seeks out solutions and uses strong judgment to make timely decisions

Knowledge of and commitment to animal adoption and foster programs in a foster-based rescue, including how to successfully build and manage them

Direct experience fostering rescue dogs, working with rescue dogs in a shelter environment, and/or handling dogs of different sizes and temperaments

A basic understanding of dog behavior and basic training foundation

Must love dogs! We’re looking for an individual dedicated to our mission of saving the lives of shelter dogs in need and finding them loving adoptive homes

Ability to work flexible hours, including at least 1 weekend day per week
Preferred Qualifications:

Bachelor’s Degree or Equivalent

Fluent in English

Ability to work independently without close supervision

High attention to detail

Basic competency and comfort using Word, databases, spreadsheets, operational management software, and social media.

The ability to foster dogs, particularly with behavioral issues

Valid driver's license and access to a car
Work Conditions:
-
Must be available on weekends and outside of traditional 9-5 hours
-
This position is largely remote, but will involve travel throughout the city to various partners, adoption events, and transport arrivals.

While performing the duties of the job, the employee should be prepared to be able to physically lift 50 lbs and drive as needed.
